For a successful client import, do not
- re-organize, rename, or create new column headers on the template
- leave blank rows between the client data
- combine details that should be in multiple rows into one row
- have multiple taxes for one client
commonsku uses a specific program to upload your clients in bulk, so you will need to copy/ paste your data to the template.
commonsku Tip: If you’re not entering a unique info for Sales Rep, Department, Industry, Terms, or Tax, use a default value but don’t leave these fields blank.
The import template includes:
- Client Name - this is the company's name
- Account Number
- Contact First Name
- Contact Last Name
- Contact Email
- Department - choose from a list of departments; "Inactive Contacts" is excluded from this list
- Position
- Address Name - this is the name of the company's address; it's for internal reference and makes it easy to choose the different billing/shipping addresses on your sales forms
- Address Line 1
- Address Line 2
- Address City
- Address State
- Address Postal
- Address Country - required for clients based outside of the USA
- Company Phone
- Contact Phone
- Contact Cell
- Contact Fax
- Tax Name - enter the label you've given the tax code (does not apply if your team is using Zip2Tax)
- Sales Rep Email - this person will become the client rep and must have an active commonsku license
- Industry - choose from a list of industries
- Default Terms - enter terms from your custom payment terms
- Status - enter statuses from your custom client statuses
- No Marketing - put a "0" if the contact can be marketed to or a "1" to exempt them from marketing
- Tags - these tags apply to the client account
- Contact Tags - these tags apply to the specific contact
Default fields required
Not all fields in the import template are mandatory; however, the default fields are required before we can proceed with the import. Specifically, you need to provide information for the following fields:
- Default Sales Rep
- Default Department
- Default Industry
- Default Terms
- Default Tax
If you do not have unique details for each of these fields, you can assign default values.
For example: Sales Rep: support@commonsku.com, Department: Executive, Industry: Other, Terms: Net 30, Tax: E. These defaults will automatically fill in any missing information for those fields.
Who does the client import?
The commonsku support team will facilitate the upload of your client information and is ready to assist you throughout the client import process. To ensure a smooth experience, please make sure that all required information is completed and that the provided client import template is accurately filled out.
How do I import multiple contacts and addresses for one client?
Whether you're uploading multiple contacts or addresses, the best practice is to separate the information into different rows. Make sure to use the same client name for each row; otherwise, the system will create a duplicate account.
Are all the template fields compulsory?
No but we need to know the following:
- Default Sales Rep
- Default Department
- Default Industry
- Default Terms
- Default Tax
if you do not want to have a unique details for the above, you can tell us a default answer example, Sales rep: support@commonsku.com Default Department: Executive, Default Industry: Other, default Terms: Net 30, Default Tax: E. This will fill it up for all the missing data.
How to import multiple tags for one client?
You can upload multiple tags by adding a comma and space between each tag, for example: Tag 1, Tag 2, Tag 3.
How long will my client import take?
An import can take between one to two business days. Please email your client list directly to support@commonsku.com, and we'll notify you as soon as the upload is complete.
