How to Order Overrun Samples for Your Office

Want to keep a sample of products you have produced for your client? Follow the steps below to add sample items to your order. Step 1 is optional; all other steps are required.

Step 1 - Get your client's approval

As usual, it's best to have your client approve the sales order before you generate your purchase orders.

To get your client's approval:

  1. Email the sales order to your client
  2. Await their approval notification

commonsku Tip - It's best to email a copy of the sales order to your client or yourself. That way, you have a copy of the original order details. These details are helpful to refer to when you need to correct the sales order later on (step 4).

Step 2 - Add the sample items to the order

To add sample items to the order:

  1. In the sales order, hover over the product you'd like to have a sample of and click Edit
  2. Increase the product's quantities as needed
  3. Click Close
  4. Follows the steps above and edit each product you'd like a sample of (optional)

Step 3 - Enter the shipping details

The purchase orders will have unique shipping details since a few sample items will ship directly to your office.

To enter shipping details for your sample items:

  1. Click the Shipping tab
  2. Click to Edit one of the products you'd like to keep a sample of
  3. Enter the shipping details as usual and add a Supplier Note for the party that is shipping the items to the end client with instructions for them to send some of the products directly to your office
  4. Click Save
  5. Follow the steps above and update the shipping information of each item you'd like to keep a sample of (optional)
  6. Add shipping details for all other products

Step 4 - Create the purchase orders

To create purchase orders:

  1. Click the Purchase Orders tab
  2. Click Actions > Create POs or Regenerate All POs, if the project has existing purchase orders
  3. Find a PO that you'd like a sample of > hover over the PO number > and click the PO number to open a preview
  4. Ensure the PO details match what you need

Step 5 - Correct the sales order

Now that you've created your purchase orders, you'll need to go back to the sales order and update the products to match your client's quantity.

To correct the sales order:

  1. Click the Sales Order tab
  2. Hover over the product you'd like to update and click Edit
  3. Decrease the product quantities as needed
  4. Click Close
  5. Follows the steps above and edit each product you'd added a sample to
