Request Change/Approve Order buttons

Both the HTML and PDF versions of the sales orders will display two buttons at the bottom of the client-facing form. They give your client the option to:

Your client will be redirected to a confirmation screen once they make their selection. The confirmation screen will prompt them to:

  • Review their order details
  • Leave their name (mandatory)
  • Leave any comments they have about the sales order (optional) 
  • Change the order status to Approved or Change Required (optional, your client would've already made their selection before arriving at the confirmation screen) 
  • Submit their approval or change request

Request Change

When your client requests a change:

  1. The sales order's status automatically updates to Client Change Requested
  2. The change request, client contact, and their comments automatically log on the project's overview
  3. The rep listed at the bottom of the form (set in your Project Templates) will receive an email notification

Once you make the requested updates/changes to the sales order, you can re-send the client's updated form for final approval by clicking Actions > Email Sales Order.

Approved

When your client approves their order:

  1. The sales order's status automatically updates to Client Approved
  2. The approval, client contact, and their comments automatically log on the project's overview
  3. The approval posts in your Company Newsfeed and the Client Newsfeed
  4. The rep listed at the bottom of the form (set in your Project Templates) will receive an email notification

The Request Change and Approve Order buttons are removed from the Client Approved sales order. In their place, the order will show

  • the contact that approved the order
  • a time/date stamp for when the order was approved

FAQ

Why is there no option to Approve/Request Change on my sales order?

The sales order's Approve and Request change buttons disappear once the sales order is approved, moved into production, shipped, invoiced, or closed.

If you need to re-add the Approve and Request Change buttons:

  1. Click the sales order's "Status" drop-down
  2. Change the status to Pending Client Approval

I already have client approval. Do they still need to approve the sales order manually?

You do not have to send the order for approval. You can move the order straight into production by entering shipping details and generating POs.

commonsku Tip: Sending your order keeps things transparent between you and your client. It clearly shows who approved the order and when they submitted their approval.
